Loan Notes allows the user to enter notes regarding a loan for themselves and/or others to read and reference. Users can view, add, edit and/or delete Loan Notes before and after the loan has been finaled with the applicable user rights (noted below) by clicking Add Notes and View Notes in the blue Application Ribbon.

 

Click Add Notes to create a Loan Note. The Add Note window will open allowing the user to type a Message and select Notification Options. By selecting a user assigned to the loan or the originator under Notify Assigned Users dropdown list, an email notification will be sent to the users letting them know a note has been added for their review. The Attention dropdown is a list of the user rights roles in the LOS and can be used to categorize the Loan Note and/or to Notify all users tied to role(s) if checkbox is marked.

 

Click Save to save the Loan Note and close the Add Note window.

 

Click cancel to discard all changes made to this screen.

 

Tip: To make a Loan Note viewable to Lenders only, do not mark the Share with Originator checkbox. The Loan Note will automatically be shared with the Originator if the Originator is selected from the Notify Assigned Users dropdown list. Originators won’t be able to view any loan notes that have not been shared with them when a Lender creates a Loan Note.

 

Tip: An email notification may be sent to assigned users when certain roles are selected from the Attention dropdown list. If Notify all users tied to role is checked, then all users linked to the role selected will receive an email notification. For example, if Underwriter is selected in the Attention dropdown list and Notify all users tied to role is marked, then all Underwriters who have access to the file will receive an email notification even if they are not assigned to the loan.

 

Click View Notes to view Loan Notes in a separate pop-up window. The View Notes screen displays the Created By, Created, Updated, Attention, and Note information in separate columns. Users can sort the Loan Notes in descending or ascending order by clicking on any of the headers.

 

The last column of the View Notes screen displays the following icons: Edit Notes, Delete Notes, View Notifications, Shared with Originator. Click Edit Notes allow users with the applicable user right to modify the Loan Note. Click Delete Notes allows users with the applicable user right to delete the Loan Note. View Notifications opens the Notifications window to display the Notification Date and list of Notified Users email addresses. Shared with Originator will display for Lenders when the Loan Note has been shared with the Originator.

 

Click Search to search Loan Notes based on the selected Search Criteria. The View Notes screen will refresh after clicking Search and only display Loan Notes that met the search criteria. A count will display at the top left of screen letting the user know how many Loan Notes met the search criteria. Click the View All Notes hyperlink to display all Loan Notes. Click the Modify Search Criteria hyperlink to perform a new search with updated search criteria.

 

Click the Print Notes hyperlink at the top right of the View Notes screen to print the Loan Notes.

 

Tip: View Notes will be disabled if the loan does not have any Loan Notes.
